1. Introduction
Welcome to Termly. We respect your privacy and are committed to protecting your personal data. This privacy policy will inform you as to how we look after your personal data when you visit our website or use our application (regardless of where you visit it from) and tell you about your privacy rights and how the law protects you.
Please read this privacy policy carefully so that you are fully aware of how and why we are using your data.

3. What data we collect and why
We only collect data we actually need. Here’s what that looks like in practice.
Mailing list sign-up
- If you join our mailing list, we collect your name and email address.
- We use this to send you updates about Termly — things like launch news, new features, and useful content for home-educating families. We won’t add you to anything you didn’t sign up for, and every email includes an easy unsubscribe link.
- Lawful basis: Consent. You choose to sign up; you can withdraw at any time.
Site questionnaires / surveys
- If you complete a questionnaire or survey on our site, we collect your answers to the survey questions.
- We store survey responses in two ways:
- Anonymous aggregate responses: Your answers and the date submitted are stored in a database with no identifying information attached — no email address, no session data, no IP address. Because this data cannot be linked back to you, it falls outside the scope of UK GDPR personal data. We retain it indefinitely to help us monitor changes in the home education landscape over time.
- Personalised responses (if you have provided your email address): Where we can associate your survey answers with your contact record in Brevo, we do so to send you more relevant communications and tailored tips. This data is personal data and is retained for as long as you remain an active mailing list subscriber.
- Lawful basis: Consent. You complete the survey voluntarily.
Analytics data
- When you visit our site, we use Google Analytics 4 to collect anonymised information about how visitors use the site — things like which pages are visited, how long people spend on them, and where visitors come from.
- This helps us understand what’s working and improve the site over time. We do not collect information that personally identifies you through analytics.
- Lawful basis: Consent. Analytics cookies only activate if you accept them via our cookie banner.
Technical / error data
- If something goes wrong on the site, our error monitoring tool (Sentry) captures technical information to help us diagnose and fix the problem. This may include details about your browser, device type, and the action you were taking when the error occurred.
- Lawful basis: Legitimate interests. Keeping the site functioning reliably is a reasonable technical necessity, and the data captured is limited to what’s needed for that purpose.
4. Cookies
Cookies are small text files stored on your device. We use them for specific, limited purposes.
You can control which cookies are active using the cookie banner when you first visit, or at any time using the "Manage cookies" link in the footer.

These cookies make the site work. They are always active and do not require your consent.

A note on termly_se: This cookie stores your email address in encrypted form. Even though it is encrypted, it is personal data under UK GDPR and we treat it accordingly. It is only set if you have provided your email address. It is used solely to link your survey responses to your contact record in Brevo. If you withdraw consent to functional cookies, this cookie is deleted and the link is not maintained.

Analytics cookies
These cookies help us understand how people use our site. They only activate if you consent to analytics cookies.

Marketing cookies
We do not currently use marketing cookies. When we activate tools like the Meta Pixel or Brevo Web Tracking, this section will be updated before those tools go live.
Changing your preferences
You can update your cookie choices at any time using the "Manage cookies" link in the footer. Withdrawing consent stops future data collection via those cookies.
Please note: withdrawing consent does not delete data already collected by third-party services like Google Analytics. To request deletion of data those services hold, please refer to their own privacy policies.
5. Who we share your data with
We do not sell your data. We do not share it with advertisers or third parties for their own marketing purposes.
We use a small number of trusted third-party services to run Termly. Where those services receive your data, we have agreements in place to ensure it is handled appropriately.

6. How long we keep your data

For Sentry’s data retention details, see the Sentry Privacy Policy. For data held by other third-party services, please refer to their own privacy policies — we do not control how long those services retain data on their end.
7. Your rights
Under UK GDPR, you have the following rights over your personal data:
- Right of access — you can ask for a copy of the personal data we hold about you.
- Right to rectification — if something we hold about you is inaccurate or incomplete, you can ask us to correct it.
- Right to erasure — you can ask us to delete your personal data (the “right to be forgotten”). There are some limited exceptions, but we will always explain if we cannot comply.
- Right to restriction — you can ask us to limit how we process your data in certain circumstances.
- Right to data portability — you can ask to receive your data in a portable, machine-readable format.
- Right to object — you can object to processing based on legitimate interests. We will stop unless we have compelling grounds to continue.
- Right to withdraw consent — where we rely on your consent to process data, you can withdraw it at any time (for cookies, use the “Manage cookies” link in the footer; for marketing emails, use the unsubscribe link in any email).

8. Children’s data
Termly is a platform designed for adults — specifically parents and guardians of home-educated children. Our site and mailing list are not directed at children, and you must be 18 or over to create an account or join our mailing list.
We do not knowingly collect personal data from anyone under 13. If you believe a child has provided us with personal data without appropriate consent, please contact us at privacy@termlyapp.com and we will delete it promptly.
We take the privacy of families seriously. We will never use children’s data for profiling or marketing purposes.
9. Security
We take reasonable technical measures to protect your data. This includes:
- Encrypted storage of sensitive data (including the termly_se cookie described in Section 4)
- Secure connections (HTTPS) across the site
- Using trusted, reputable third-party services with their own security standards
No system is completely impenetrable, but we take our responsibilities seriously and will notify you and the ICO promptly if a data breach occurs that affects your rights.
10. Changes to this policy
We may update this policy from time to time. The "last updated" date at the top of this page reflects the most recent version.
If we make material changes to how we use your data — not just administrative tweaks — we will notify active mailing list subscribers by email before the changes take effect.
